What You Need First
Three things have to be true before the workflow can work:
- A phone number inside GoHighLevel. Your tracked business number (or a forwarding number) must live in the location, so the platform sees the call events.
- A2P registration approved. US carriers require business texting to be registered (called A2P 10DLC). If your number isn’t registered, texts fail, and they often fail silently. Do this first.
- Calls actually routing through that number. If customers dial a number GoHighLevel can’t see, no trigger ever fires.

Build the workflow version anyway. It gives you a custom delay, contact tagging, a team notification, and a follow-up step if the caller doesn’t reply. That’s the difference between a text and a system.
The Workflow, Step by Step
- Create a new workflow from scratch and name it “Missed Call Text-Back.”
- Add the trigger: Call Status. Filter it to incoming calls with a status of no answer, busy, or voicemail. That combination catches every version of “you didn’t pick up.”
- Optional: add a 1 to 2 minute wait. This gives you a window to call back before the text fires. Skip it if instant response fits how you work.
- Add the action: Send SMS. Use the template below. Keep it to one or two sentences.
- Add an internal notification. Ping yourself or your team so a human follows up while the lead is warm.

The Message Template
“Hi, this is [Your Business]. Sorry we missed your call! How can we help? Reply here or we’ll call you back shortly.”
It identifies you, acknowledges the miss, and invites a reply. That’s the whole job. Don’t add links, specials, or emojis. The caller wanted to talk to you, so talk.
Test It Before You Trust It
Call your business number from a cell phone that isn’t in your CRM. Let it ring out. Then check three things: the text arrived, the contact was created with the right tag, and the notification reached your team.
If no text arrived, open the workflow’s execution log. You’ll see whether the trigger fired and what happened at the SMS step. A trigger that never fired means a call-routing problem. An SMS step that failed usually means A2P registration.
